We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative duties.
Primary Responsibilities
● Provide general administration support to Maeva’s USA staff at office
● Fluent in oral and written Spanish (Required)
● Answer and direct phone calls
● Organize and schedule appointments
● Book travel arrangements
● Respond to emails correspondence
● Sort through post correspondence
● Copying, receiving faxes, and scanning
● Submit and reconcile expense reports
● Translate (Spanish to English) newsletter reports
● Track and order supplies
● Send, receive, and process payments from clients
● Maintain an organized system to track invoices as due
● Request checks from bookkeeper for invoices and mail
● Request and process sample orders of product
● Keep track of inventory for samples closet
● Enhance and maintain existing filing system
● Data entry of orders in company’s system (training provided)
Work experience
● Professional work experience preferred in the following areas:
o Administrative
o Customer service
o Clerical
Education
● High school diploma, required
● BA or BS, preferred
